The books that record money and goods moving
Every trading, contracting and service business in Dubai needs a small set of books that track the same handful of events: money in, money out, goods despatched, goods received, an order placed.
They are not glamorous documents. They are the ones an auditor asks for.
The usual set
- Receipt voucher — money in. Given to the payer.
- Payment voucher — money out. Kept by you.
- Petty cash voucher — small cash movements, usually A6.
- LPO book — orders you place with your suppliers.
- Delivery note or delivery order — goods leaving, signed on receipt.
- Gate pass — permission for material to leave a site.
Why numbering matters more here than anywhere else
On a marketing leaflet, numbering is irrelevant. On a voucher it is the whole point. The number is how a payment is traced, how a duplicate is spotted, and how a missing set is noticed at the end of the month.
Two rules are worth following:
- Continue your existing sequence. If the last book ended at 2200, start the next at 2201. Restarting from 1 creates duplicate numbers in your ledger.
- Coordinate across book types. Ordering vouchers, delivery notes and invoices together means we can plan the series so they do not collide.
Bilingual as standard
Vouchers get signed by drivers, storekeepers, security and customers, many of whom read Arabic first. We set both languages on the same sheet, properly typeset, rather than treating Arabic as an optional extra.
Questions
Receipt & voucher books: Common questions
What is the difference between a receipt voucher and a payment voucher?
A receipt voucher records money coming in and is given to whoever paid you. A payment voucher records money going out and is kept as your own evidence of the payment. Most businesses need both, and it is worth printing them at the same time so the numbering can be coordinated.
Can you print several book types with matching numbering?
Yes, and for trading and contracting businesses this is usually worth doing. Coordinated numbering across invoices, delivery notes and receipts makes it far quicker to trace a single transaction through all three documents months later.
Do you print LPO books?
Yes. Local Purchase Order books are one of the most commonly ordered items alongside invoice books, particularly for contracting and trading companies who issue orders to their own suppliers.
What size should a petty cash voucher be?
A6 is the usual choice. It is small, cheap to produce in quantity, and fits a cash box or a drawer, which is where it will actually live.
